Where to review hours
When shifts have hours waiting for you, a "x hour(s) to review" button appears in the top bar of your Planner. Click it to open the review window, which lists every shift with hours to approve. You can group the list by worker or by shift, whichever is easier to work through.
You can also approve hours one shift at a time. Shifts still waiting for your approval are marked in the Planner with a blue clock ("Reported – requires your approval"). Click the shift to approve just that one, edit its hours, or edit only its expenses and save those without approving the hours yet (Save only expenses).
How hours get reported
After a shift ends, the Coopler reports the hours they actually worked.
If they don't submit within 6 hours of the shift ending, the system submits the scheduled hours automatically – you'll see these marked as "Submitted automatically". The scheduled times are the shift's original plan (shown as "as planned").
So the hours you review are either what the Coopler entered, or – if they didn't submit in time – the planned hours.
Reviewing and approving
For each shift you'll see the reported working time and breaks. You can:
Approve – confirm the hours as they are.
Edit – adjust the start time, end time, or breaks before approving, if the reported hours don't match what actually happened.
Approve several shifts at once from the review window.
Approving confirms the hours for that shift – this is what the Coopler is paid for and what you're billed for.
Reporting an absence
If a Coopler didn't turn up or couldn't work the shift, use "Worker didn't show up?" on that shift to report an absence instead of approving hours. You'll choose a reason:
No-show
Sickness
Accident outside work
Other
For a no-show, you can also tick the box to block the worker – they're then removed from that shift automatically. Once you've reported the absence, the shift is marked Absent in your Planner.
You can only report an absence while the hours are still awaiting approval – not after they've been approved.
If you don't review in time
Reported hours you don't review are approved automatically by the system every Tuesday at 21:00, so nothing is left hanging. The review banner also reminds you when the next automatic approval will happen.
Good to know
"As planned" is the shift's original schedule; the reported and approved hours can differ from it if the actual times were different.
