Managing worker pools

Worker pools help you organise your workforce and decide who can see each shift. Coople gives you ready-made pools – like Favourites, Blocked and Previously scheduled – and you can create, share and target your own.

Where to find your pools

Open Workers. In the sidebar, your pools are grouped into Default pools, your own custom pools, and any shared pools. Click any pool to see its members.

Pools exist at two levels, and you switch between them with the Workspace / Organisation toggle at the top:

  • Workspace pools belong to a single workspace.

  • Organisation pools apply across your whole organisation. As an Organisation Admin, you can manage these centrally – for example a Blocked pool that blocks someone from every workspace at once.


The preset pools

Every account comes with a set of ready-made pools:

  • Internal – your own internal employees, added to Coople for planning.

  • Payrolling – workers who registered on your recommendation and whom Coople payrolls for you.

  • Favourites – workers who impressed you and that you'd like to rehire.

  • Blocked – workers who can no longer apply to your shifts. Open this pool to unblock someone if you change your mind.

  • Previously scheduled – everyone who has worked at least one shift for you. This pool updates automatically.


Creating your own pools

To group workers your own way, click New pool in the sidebar, give it a name, and click Create Pool. Then open the pool and use Add workers to search for and add people. A custom pool is created at the level you're currently in – workspace or organisation, depending on the toggle.

You can delete a custom pool at any time from the pool's actions. Preset pools can't be deleted.


Sharing a pool across workspaces

To reuse the same pool in more than one workspace, open it and click Share, then choose the workspace(s) to share it with. A shared pool is managed from where it was created – in the workspaces it's shared to, it's available to use but read-only. You can unshare it again from the same dialog.


Using pools to target shifts

When you create an open shift, use Who can apply to advertise it to specific pools instead of all Cooplers – for example only your Favourites or a custom pool. Only workers in the chosen pool(s) can see and apply to the shift, which makes rehiring people you trust quicker. Blocked workers can never apply.
