How can I review and approve the working hours of Cooplers via the Coople for Business App?

Cooplers have to send their worked hours after every shift for your review. Approve, edit and report no shows.

When Cooplers finish their shift, they can send their worked hours manually within 6 hours from the end of their shift. If they forget to submit their hours within the 6-hour deadline, the jobs planned hours are automatically used and sent to you for approval.

You will receive a notification to review their worked hours. You can approve their submitted hours, adjust the start time, end time and break, or report that the worker didn’t show up.

We will process payment for Cooplers after you approve their hours. Therefore, please try to review the worked hours regularly so that our Cooplers are paid on time and mistakes are avoided. Alternatively, if you do not manually approve the worked hours, we will automatically approve them after a given time period. All hours for the previous week will be automatically approved every Tuesday at 9pm.

You can also set up a QR code to automatically register and approve the check in and check out times of Cooplers. Automatically recorded hours via QR code do not require any further approval from you and can be charged immediately.


Reviewing hours from the Coople for Business App


Access: you can review hours from...

  1. The Dashboard.

  2. The Review hours tab.


Approving hours shift by shift

  1. Open a shift.

  2. Select a worker.

  3. Review the Start and End time, as well as the break duration.

  4. Click on Approve shifts to finish.


Approving hours in bulk

If you know that all employees have worked their hours as planned, you can save time by approving all their hours at once.

  1. Open a shift.

  2. Tap the tick box to the right of the shift date, time and break duration.

  3. Click on Approve.


Editing the submitted hours

Our Cooplers know they must report their hours accurately. If the Cooplers submitted hours vary from the actual hours worked, you can edit the hours before approving them.

  1. Open the relevant shift.

  2. Select a worker.

  3. Tap on the details you need to adjust. You can change the Date, Start and End time, and Break duration.

  4. Adjust the date and the hours. This is useful if you agreed with the worker an earlier start date or time. Also if the worker had to leave early but reported their full planned hours.

  5. Click on Approve.

We will send any reduction in hours to the worker so they have the opportunity to dispute them.


Reporting an absence

If a Coopler does not show up for a job but their hours are submitted manually within 6 hours or automatically after 6 hours, you can report the absence to us. Follow the steps below to do so:

  1. Open the relevant shift.

  2. Tap on a worker.

  3. Click Did the worker not show up?

  4. Select a reason for the absence from the drop-down menu.

  5. Then tap on Report absence.

We will remove the Coopler from the shift and they will not receive any wage payment for this shift. We will also check the reason for the Cooplers absence.


Status of worked hours

When you open an active job, you will see one of the following statuses for each shift:

  • Open hours: the Coopler needs to submit their worked hours. If this is not done within 6 hours after the end of the shift, the planned hours for that shift are automatically used.

  • Not recorded: this status is shown if the planned hours for this shift were automatically used.

  • Check hours: the Coopler has submitted their worked hours and you should review and approve them now.

  • Confirmed: you will see this status after you have approved the worked hours.


Rating Cooplers

After the Cooplers last shift in your job, we ask you to rate them. We use a four-star rating system:

  • Four stars - your experience with this Coopler was very good.

  • Three stars - your experience with this Coopler was good

  • Two stars - your experience with this Coopler was below average

  • One star - Your experience with this Coopler was bad

Please remember to complete this step. Good work is rewarded with a positive rating and helps great Cooplers find jobs more easily in the future.
