Adding and managing workspaces

A workspace is a separate planning environment within your organisation, with its own Planner, job roles, venues and shifts. Create as many as you need – for example one per department, location or event.

Finding and switching between workspaces

Open Home to see all your workspaces as cards – click one to open its Planner. On Home you can search your workspaces by name or tag. You can also switch using the workspace selector in the top bar. Each workspace has its own Planner, so you only ever see the job roles, shifts and workers that belong to the one you're in.

To manage the full list, open Settings → Workspaces, where each workspace shows its name, brand, tags, users, created date and status. You can search and filter by brand or status.


Creating a workspace

Click Add Workspace – from Home, or from your organisation settings (see Account settings and preferences) – and fill in:

  • Name (required) – the workspace's name, for your own reference.

  • Linked brand (required) – the brand workers see when applying to its shifts; the workspace name isn't shown to them.

  • Preferred language (required) – the default language for this workspace's communications.

  • Use expenses on shifts (optional) – switch on to add allowances, deductions and expense claims to shift costs.

  • Night hours – the window that counts as night hours. It's shown with the default 23:00 – 06:00 if you didn't specify it during registration.

  • Payment setting (required) – which of your payment methods covers shifts scheduled in this workspace.

  • Tags (optional) – group and organise this workspace with others. You create and manage tags under Settings → Tags.

  • Users (optional) – give specific people access to this workspace with a role (see below).

Save to create the workspace – it then appears on your Home page with its own Planner.


Editing a workspace

Open a workspace from the list – or its three-dot menu → Edit – to change any of these settings, including renaming it, then click Save. Workspaces can't be deleted at the moment.


Who can access a workspace

A user can reach a workspace if they have an organisation-wide role (which covers every workspace) or a role assigned to that specific workspace. You grant workspace access either in the Users section when creating or editing the workspace, or from Settings → Users.
