Turning it on
When creating or editing an open shift, switch on Auto-schedule pool workers, then choose which pools are eligible under Select pools to auto-schedule from. You can only choose from the pools you've already made the shift visible to under "Who can apply" – or, if the shift is visible to all Cooplers, any of your pools. Internal and external pools can be mixed freely in both selections – they don't exclude each other.
Once it's on, the shift shows a small lightning bolt icon in your Planner, so you can spot auto-scheduling shifts at a glance.
How it actually works
Auto-Schedule isn't something that runs in the background and fills your shift for you – it's a fast track for the worker. In the app, eligible workers see the shift marked "Instant hire", with a "Get hired" button in place of the usual apply button. Tapping it schedules them onto the shift immediately: no application, no offer, no review from you. Coople still checks the same eligibility as any hire – qualifications, pool membership, availability, and compliance rules like working hours and minimum wage.
What happens once it's filled
Auto-Schedule only ever fills up to the number of workers you need. Once the shift reaches its required headcount, it's marked fully staffed and no one else can auto-schedule onto it.
What you'll see
There's no email or push notification when someone auto-schedules onto your shift. You'll see it update live in your Planner, and a "Worker auto-scheduled" entry appears in your notification centre and Activity feed.
Good to know
Internal workers can be auto-scheduled too – but only on shifts that aren't open to all Cooplers. If a shift is public, internal workers in your auto-schedule pools won't be reached, since they don't see public shifts in the first place.
Once someone is auto-scheduled, it's a normal shift – if you need to remove them, use the usual cancellation process.
If you don't see this option on your shifts, get in touch with Coople to have it enabled for your organisation.
