Understanding shift statuses: open, offered, scheduled, cancelled, completed

Every shift and open shift moves through a clear set of statuses – here's what each one means and what triggers it.

Shift statuses

A shift is a slot assigned to one specific worker.

Status

What it means

Offered

Sent to a specific Coopler, waiting for them to accept or decline.

Scheduled

Confirmed – either the Coopler accepted your offer, or (for internal workers only) you scheduled them directly.

Offered with amendments

You edited the time, breaks, or expenses of an already-scheduled shift. The Coopler needs to accept the changes for it to go back to Scheduled.

Withdrawn

You withdrew an offer before the Coopler responded.

Declined

The Coopler declined your offer.

Absent

Marked when a Coopler didn't show up for a scheduled shift.

Cancelled

The shift was cancelled – either by you or by the Coopler.

Work completed

The shift happened and hours have been reported.

Closed

The shift is fully closed out and finalised – this happens automatically once everything (hours, payment) is settled; it's not something you trigger yourself.

Once a shift is Cancelled, Withdrawn, Absent, or Closed, it can no longer be edited.


Open shift statuses

An open shift is a slot that isn't tied to a specific worker yet – anyone eligible can apply.

Status

What it means

Open shift

Still needs workers.

Fully staffed

Has all the workers it needs.

Paused

You've temporarily paused it – hidden from the worker feed, but not deleted.

Expired

Nobody filled it in time, and its shift time has now passed.

Deleted

Removed – only possible while nobody's scheduled on it yet.


How the two connect

Scheduling enough workers on an open shift moves it from Open shift to Fully staffed automatically. If someone later cancels, it reopens (Fully staffedOpen shift) so you can find a replacement. Changing how many workers you need can flip it either way, too.


Reported hours are tracked separately

Whether hours have been reported and approved is a separate track from the shift's status. You may see "Reported" or "Approved" instead of "Work completed" while hours make their way through review.


Good to know

  • For external Cooplers, you can only send an offer – scheduling directly without one is available only for your internal workers.
