How does the Planner work?

The Planner is the calendar-style screen where you set up job roles, publish shifts, and manage your workforce for a workspace – most of the actions described in this Help Center happen somewhere on this screen.

Getting to the Planner

Select a workspace to open its Planner. Each workspace has its own Planner, so you only see the job roles, shifts, and workers that belong to it.


Finding your way around

Along the top of the Planner you'll find:

  • All venues and All job roles – filters to narrow the calendar to a specific venue or job role.

  • Date navigation – the arrows and Today move through time; the date picker jumps to a week or month; Week / Month switches the layout.

  • Estimated cost – a running cost estimate for the shifts currently shown.

  • All / Scheduled / Applicants – switch the view between everything, only scheduled shifts, or the applicant view.

  • Show… – choose which rows and shift types appear (see below).

  • Group by – group the calendar by Job roles, Venues or Workers.

  • Search – find a job role or worker by name.

  • – add a new job role.

Reading the calendar

Down the left you'll see your rows – grouped by job role by default (or by venue or worker, depending on Group by). Under each job role is a row for every worker who belongs to it, either because they've had at least one shift there or because you added them directly. The same worker can appear under more than one job role.

Worker rows show tags such as Favourite, Internal, Payrolling or Previously scheduled, so you can see at a glance which of your pools a Coopler belongs to. In the Applicants view, you'll also see a Coopler's star rating where they have one.

From the calendar you can:

  • Hover over a shift for a quick summary, or click it to open the full details.

  • Click the in a day cell to add an open shift – or a shift for a specific worker on their own row.

  • Collapse or expand the worker list under a job role using the arrow next to it.


Keeping the Planner tidy

Use the Show… menu to control what appears:

  • Empty rows – workers and job roles with no shifts in the period you're viewing.

  • Open shifts – unfilled shifts still open to workers.

  • Scheduled shifts – confirmed shifts that workers are scheduled for.

  • Needs attention – shifts that are offered, awaiting a response, or declined, where you may need to find a replacement.

  • Cancellations & absences – withdrawn, cancelled or absent shifts, kept for your records.

To hide a job role, use its three-dot menu and choose Hide for me (only your view) or Hide for all (everyone in your organisation). Hidden roles show a Hidden label; unhide them from the same three-dot menu. Nothing is deleted.


Pending actions

When there's something for you to act on, buttons appear at the top of the screen, each with a count – you'll only see each one when it's relevant:

  • Applicants – Cooplers have applied to your open shifts; click to review and hire them.

  • Hours – hours your Cooplers have worked, waiting for you to review and approve.

  • To rate – Cooplers you can rate after their hours have been approved.

The three-dot menu at the top of the Planner gives you a few more options:

  • Activity – the activity feed of changes and actions in your workspace.

  • Rota templates

  • View contracts

  • Download staff schedule
