How does the Planner work?

The Planner is the calendar-style screen where you set up job roles, publish shifts, and manage your workforce for a workspace – most of the actions described in this Help Center happen somewhere on this screen.

Getting to the Planner

Select a workspace to open its Planner. Each workspace has its own Planner, so you only see the job roles, shifts, and workers that belong to it.


Finding your way around

Along the top of the Planner you'll find:

  • Week / Month – toggle between a weekly and a monthly calendar layout.

  • Date navigation – use the arrows and Today to move through time, or the date picker to jump to a specific week or month.

  • Estimated cost – a running cost estimate for the shifts currently shown.

  • Search – find a specific job role or worker by name.


Reading the calendar

Your job roles are listed down the left and stay there even after the shifts under them are completed or cancelled. Under each job role you'll see a row for every worker who belongs to it – either because they've had at least one shift there, or because you added them directly. The same worker can appear under more than one job role.

Worker rows also show helpful tags, such as Favourite, Internal, or Payrolling, so you can see at a glance which of your pools a Coopler belongs to.

From the calendar you can:

  • Hover over a shift for a quick summary, or click it to open the full details.

  • Use Add job role to set up a new position directly from this screen.

  • Create open shifts, or offer a shift to a specific Coopler.

  • Collapse or expand the worker list under a job role using the arrow next to it.


Keeping the Planner tidy

As job roles pick up more workers and shifts, the Planner can get busy. Use the View settings dropdown (top left) to control what's shown:

  • Show empty rows – "empty" rows are Cooplers who are in the Planner but have no scheduled, offered, absent or terminated shifts in the period you're looking at. Turn this off to hide them.

  • Show job roles hidden for me and Show job roles hidden for all – bring hidden job roles back into view.

To hide a job role, use the three dots next to it and choose Hide for me (only your view) or Hide for all (everyone in your organisation). Nothing is deleted – you can bring it back at any time, and these preferences stay in place even after you refresh the page.


Activity feed

The clock icon in the top-right corner opens the activity feed, where you can track the changes and actions happening in your workspace.


Buttons that need your attention

When there's something for you to act on, buttons appear in the top-right corner of the Planner. You'll only see each one when it's relevant:

  • Applications – when Cooplers apply to your open shifts, a button shows how many applications you've received (for example, "42 applications"). Click it to review the applicants and hire the ones you want. See "Reviewing and hiring applicants" for the full flow.

  • Hours to review (for example, "1 hour to review") – review and approve the hours your Cooplers have worked.

  • Reviews – rate the Cooplers who worked for you.


More tools

The three-dot menu in the top-right corner gives you a few more options:

  • Rota templates

  • View contracts

  • Download staff schedule
