Your organisation
The organisation is the top level everything else sits under – your workspaces, brands, payment methods, and users. A few things always live at organisation level, shared across all your workspaces:
Legal entities and payment methods – set up once; each workspace simply selects which one applies to it.
Brands – created once, then linked to whichever workspaces need them.
Organisation-level worker pools – can be shared across the workspaces you choose, managed centrally by an Organisation Admin.
The Organisation Admin role – has full control across every workspace in the organisation.
Your workspaces
A workspace is a separate planning environment within your organisation, with its own Planner, job roles, venues and shifts. Each workspace has its own:
Linked brand, preferred language, payment setting, night hours window, expenses setting, and tags.
These are fully independent per workspace – two workspaces in the same organisation can use completely different brands or languages.
Switching between them
Use the switcher in the top bar to jump between organisations and workspaces.
In Settings, you'll find two separate groups: Workspace (Venues, Job roles) and Organisation (Users, Workspaces, Tags, Brands, Organisation, Payment) – this split mirrors exactly what lives at each level.
Worker pools have their own Workspace / Organisation toggle, since pools can be created at either level.
Users and roles
Each person has one profile per organisation, but can hold different roles at different levels:
Organisation Admin applies across the whole organisation.
Workspace Admin, Staffing Manager, and Shift Supervisor are assigned per workspace – the same person can hold different roles in different workspaces. See Managing users for what each role can do.
Good to know
A new workspace's payment method starts out as your organisation's default, but from then on you can change it for that workspace independently.
Some organisation-level fields – like legal entity details and night hours – are managed by Coople on your behalf.
